Trip Cancellations

How do we decide if a trip is on or off?

A season of RiverWatch Field Trips is usually fully booked a year in advance. Schools from previous seasons are given the first opportunity to re-book.

A non-refundable deposit is required to confirm a tentative field trip date, and that deposit is due before the end of February for spring bookings or before the end of May for fall bookings. Schools may cancel a tentative booking prior to those deadlines.

We always hope for warm, sunny days, but there are occasions when teachers and guides decide together that a particular field trip has to be cancelled due to inclement weather or rising water levels.

  • If there is the possibility of a trip being cancelled at the last moment, students should come to school prepared for either outcome - dressed for a day outdoors and prepared for their regular classes.

  • Because every day is booked during the spring and fall seasons, there are no provisions made for "rain dates". Light rain or cool temperatures usually do not cancel a trip. Students are provided with rubber boots and raincoats on such days, and it's not unusual for hot chocolate drinks to be served along the river route. Most RiverWatch routes even have indoor facilities along the way that can provide a place to warm-up and dry out.

  • If a trip cannot be rescheduled, then the school's deposit will be fully refunded. If a trip is cut short due to sudden changes in the weather, the final invoice will be adjusted accordingly.

  • There are creative weather options when a trip has been cancelled rather than re-scheduled. In such instances, RiverWatch guides have brought the science kits and buckets of river water into the classroom at a reduced fee. There have even been trips re-scheduled to the weekends when alternate weekdays have been fully booked.

It's important to be flexible when learning is scheduled in the outdoors! We can't control the weather, but we make every effort to customize a trip to keep students learning and comfortable.
